Faculty Guide: Optical Scanning & Exam Grading

Follow this step-by-step procedure to prepare, submit, and retrieve your exam materials.

Step 1: Prepare Your Materials (Pre-Submission Checklist)

Before heading to South Hall, ensure your exam stack is organized in this exact order, from top to bottom:

  1. A completed processing Cover Sheet: Fill this out with your processing instructions and your SUNY Geneseo email address (@geneseo.edu).

  2. A separate "Weighting" sheet (Optional): If you wish to weight questions differently, place this sheet next. (If this sheet is not included, all questions will be weighted evenly, except for omitted questions left blank on the key).

    • Leave the Last Name field blank (top-left).

    • Enter 000000001 in the Student Number field.

    • Enter your 5-digit CRN in the Course Ref Numb field (e.g., 54321).

    • Bubble in your desired weights using the letter choices (e.g., bubbling B = 2 points, C = 3 points, etc.). Leave omitted questions completely blank.

  3. The Faculty Answer Key:

    • Leave the Last Name field blank (top-left).

    • Enter all zeros (000000000) in the Student Number field.

    • Enter your 5-digit CRN in the Course Ref Numb field.

    • Bubble in one correct answer per question. Leave any omitted questions completely blank.

  4. The Student Answer Sheets:

    • Verify all sheets are completed in pencil only (the scanner cannot read ballpoint ink).

    • Ensure students only bubbled one answer per question (multiple responses are not allowed).

    • Confirm students completely darkened their marks (light marks may not be picked up).

    • Check that students filled out their sheets as follows:

      • Last Name & First Name: Darken the applicable bubbles.

      • Student Number: Darken bubbles with their Geneseo ID (G#), replacing the "G" with a "0" (e.g., G00456789 must be bubbled as 000456789).

      • Course Ref Numb (CRN): Optional (at the instructor's discretion).

      • Exam / Form: Optional (at the instructor's discretion).

Step 2: Submit, Process, and Pick Up Your Exams

  1. Drop off the exams at South Hall 124B: Place your prepared exam stack inside a campus envelope. You can drop them off 24/7 in the secure, CIT-staff-only mailbox located right next to the door. Blank cover sheets and campus envelopes are always available at the drop box.

  2. Wait up to 3 business days for processing: CIT staff will retrieve your envelope from the mailbox and run your exams through the scanner.

  3. Receive your digital reports via email: Your results will be emailed to your @geneseo.edu address. You will receive:

    • 7 Standard Reports: Frequency Distribution, Grade Posting, Grade Report, Question Analysis, Question Statistics, Student Statistics, and Test Statistics.

    • 2 Data Files: Gradebook.csv and a custom CSV file formatted for direct import into Brightspace.

  4. Pick up the physical exam sheets: Stop by South Hall 124B during normal business hours (Monday – Friday, 8:00 a.m. to 4:15 p.m.) to retrieve your original paperwork.

    • Note: If you send a student or teaching assistant to pick up the exams, you must call CIT in advance or send the student with a signed authorization note (including the student's name, the course, and your signature).
