This article helps faculty create Degree Works waivers or substitutions for students via myGeneseo.

Step-by-Step Instructions

  1. Log In Log into myGeneseo with your SUNY Geneseo username and password.

  2. Access the Tool In the Sites section, search for and select the Waivers/Substitutions page.

  3. Look Up the Student

    • Click the Create Requests tab.

    • Enter the student's G-Number and click Get Student Info. (Student details will pull directly from Banner).

    • Note: Click Start Over if you need to select a different student.

  4. Select the Program Under "I am seeking a waiver or exception for:", select the student’s major, minor, concentration, or GenEd/Other from the dropdown menu. The approver's name and email will populate automatically.

    ⚠️ Stop! Do not submit a waiver if:

    • The student is undeclared or in a pre-major (e.g., Pre-Biology, Pre-Business). Once the student officially declares their major, the processed waiver will break.

    • The major/minor is incorrect or missing. The program was never declared. Instruct the student to visit the Registrar's Office in Erwin 106 to officially declare their program first.

  5. Identify the Requirement to Waive Under Required Course or Program Requirement, select one of the following (click View Examples for guidance):

    • Choose a Course: Select the required course (e.g., MATH 221) from the dropdown menu.

    • Enter Manually: Type in a text description of the requirement (e.g., "1 Class in 3 of the 4 subfields, American Politics").

  6. Select the Substitute Course Under Waiver/Substitute Course, choose one of the following:

    • Choose a Course: Select a course the student has already completed from their transcript list.

      • Note: If the transfer course is missing from this list, do not submit. Instruct the student to contact the Registrar's Office.

    • Enter Manually: Manually input the course details.

    ⚠️ Important: Do not submit a waiver for an In Progress (IP) course unless the student is in their final semester.

  7. Submit Review the information and click Submit.

 

Troubleshooting Steps (HelpDesk Reference)

If a user contacts the HelpDesk with Degree Works issues, guide them through these steps in order:

  1. Test User Access: If the user is a faculty member with a student employee nearby, ask if the student can successfully load their own Degree Works to rule out a wider system outage.

  2. Switch Browsers: Have the user try a different web browser (e.g., switch from Safari to Chrome).

  3. Use Private Browsing: Have the user open an Incognito (Chrome) or Private (Firefox) window and try again.

  4. Clear Cache: Walk the user through clearing their browser's cache and cookies.

  5. Switch Devices: Have the user try accessing the site from a different computer, if available.
