Crucial Step: Enable "Manage Backup"
To ensure your physical Desktop, Documents, and Pictures folders are actively syncing (and not just files you manually drag into the OneDrive folder), right-click the OneDrive cloud icon in your taskbar, open Settings, and ensure Manage Backup is turned on for those specific directories.
Signing In to OneDrive
If your computer is not automatically signed in, follow these steps to establish your connection:
- Open the App: Click the OneDrive icon (the Blue Cloud) located in the lower-right corner of your Windows taskbar.
- Begin Login: In the window that opens, click Sign in.
- Enter Credentials: Enter your full Geneseo email address. If prompted, choose the Work or School account option and complete the sign-in process.
- Set Folder Location: Accept the default file location settings by selecting the Next button.
- Navigate the Tutorial: Click Next through the brief on-screen tutorial screens to view OneDrive tips.
- Skip Mobile Setup: When given the option to download the mobile version onto a smartphone or device, choose Later.
- Complete Setup: Click Open my OneDrive folder when prompted at the end of the tutorial.

Managing Storage & Files On-Demand
By default, OneDrive uses a feature called Files On-Demand. It uploads your files to the cloud and downloads them to your local computer only when you open them, saving your hard drive space.
If you prefer to keep copies of your documents on your local machine at all times (allowing offline access), follow these steps:
- Double-click the This PC icon on your desktop, or search for "This PC" in the Windows start menu and open it.
- Under the Quick Access panel on the left navigation sidebar, right-click on the Desktop, Documents, and Pictures links individually.
- Select "Always keep on this device" from the context menu. Make sure to repeat this for all three folders.
Understanding Your Status Icons
- Cloud Icon: The file is saved safely online and takes up zero local hard drive space. It downloads instantly when opened.
- Green Checkmark: The file has been fully downloaded to your computer and is completely available offline. On your primary computer, your main folders should display this checkmark.
Important Rule for Secondary/Shared Computers:
If you log into a shared machine, computer lab, or temporary workstation that is NOT your main computer, do NOT select "Always keep on this device." Leaving Files On-Demand active allows you to access your data over the internet without filling up the secondary computer's hard drive space.
Note: OneDrive should automatically log you in when you turn on your machine. If you are occasionally prompted to sign in again, please do so promptly to ensure your files continue to back up correctly.

How to Check Sync Status
- Look for the OneDrive icon in your system tray (the lower-right corner of your screen near the clock).
- If the cloud icon features an exclamation point or error symbol, click it immediately to view and address the sync blockage.
