Computing Account Eligibility Guidelines

Computing Account Eligibility timelines are established by CIT based on security best practices, auditing standards, software licensing compliance, and close consultation with the Information Security Program Team. Access data is mirrored daily from campus student files and statewide HR databases directly into Banner.

⚠️ Core Security Rule: Computing accounts are placed into a restricted, limited-access status exactly 2 weeks after CIT receives formal notification that an individual is separating from SUNY Geneseo.

Student Account Lifecycles

New student accounts are claimed via automated setup sequences dispatched to the email addresses registered during the undergraduate or graduate application process.

Student Category When Eligibility Begins When Eligibility Ends
Domestic Matriculated Undergraduates ~1 hour after admission deposit is processed by the Admissions Office. Immediately if admission is cancelled/rescinded. Otherwise, 6 months after being marked inactive due to non-enrollment. (Limited access triggers 2 weeks post-inactivity).
Graduating Students Maintained continuously through active enrollment. Disabled 6 months after official graduation records are committed to Banner.
Non-Matriculated Students ~1 hour after application forms are finalized by the Registrar's Office. 6 months after being marked as an inactive record.
Graduate Students (Domestic/International) ~1 hour after formal clearance by Graduate Admissions. 6 months after being marked as an inactive record.
International Students ~1 hour after processing structures are completed by International Student Services. 6 months after being marked as an inactive record.
Transfer Admits ~1 hour after configuration as an accepted transfer match. Following the start of the next immediate academic semester if no course registrations are filed.
LIVES Students Upon formal request from the LIVES Program Coordinator. Upon formal cleanup notice from the LIVES Program Coordinator.
💡 Workspace Access Grace Period: During the 6-month window following an inactive designation, students lose peripheral network systems but retain access exclusively to Google Workspace services. For questions regarding active leaves of absence, coordinate directly with the Office of Enrollment Management (Doty Hall 312).

State Payroll Faculty & Staff

Staff records tie explicitly to system milestones inside the statewide SUNY HR manager database.

  • Full-Time Faculty (UUP Union / INSTR Role): Account access activates the calendar day following the entry of the official appointment into SUNY HR. Access is programmatically de-provisioned 4 weeks past the documented Last Day of employment. New professors gain initial myGeneseo entry paths once their Banner instructor profile (SIAINST) is built.
  • Adjunct Faculty: Account access activates the day following entry into SUNY HR. Access permissions remain valid for 1 year past the recorded Last Work Date.
  • State Staff (All Non-Faculty Lines): Access activates the day following entry into SUNY HR and terminates permanently at midnight of the recorded Last Day.
  • Student Employees: Access permissions map directly to their underlying Student Status parameters as defined in the student matrix above.

Note: If a separating employee elects to remain on active payroll by burning accrued vacation windows past their physical exit date, account expiration shifts to match the final payroll date. Email-only access may be preserved for up to 1 year following separation, provided the exit occurs on standard favorable terms. If an immediate or emergency account lock is required, contact Human Resources directly.

Non-State Payroll & Affiliates

Personnel who do not draw pay via standard New York State payroll systems but provide necessary operational services to campus offices receive account windows bound directly to their documented business service dates.

CAS Employees (including Student Association and Bookstore staff) The business day following data entry into SUNY HR by CAS Human Resources. Midnight of the designated operational Last Work Date.
Research Foundation Employees Upon formal HR submission detailing confirmed start targets. Upon explicit end-of-service notifications submitted to HR by the Research Foundation Coordinator.
Official Volunteers When an authorized Volunteer Form is reviewed, filed, and processed inside State HR by Human Resources. On the specific expiration date submitted by HR (capped at a maximum of 1 rolling year; extension requires an updated Volunteer Form submission).
External Temp Hires Governed by the exact validation parameters used for Official Volunteers. Governed by the exact validation parameters used for Official Volunteers.
Affiliates Immediately following configuration and manual provisioning approval by CIT. On the internal access target set by CIT at approval. Must be formally re-evaluated and renewed every 3 months.
