The fundamental distinction between these two platforms comes down to who owns the files and what happens to them long-term.
OneDrive: Your Personal Workspace
OneDrive files remain private until you explicitly choose to share them. These include your everyday work documents, drafts, meeting notes, presentations, or lectures you are currently developing.
- You can share these files with coworkers and students manually, granting them either edit access or view-only restrictions.
- Important Account Deactivation Rule: Because OneDrive files are tied directly to your individual identity, all associated files will be permanently deleted when you leave SUNY Geneseo and your account is deactivated.

SharePoint: The Team Collaboration Hub
Files added or created in a SharePoint environment (referred to as a "site") are immediately visible and editable by all members of that site, eliminating the need for manual sharing link management.
- Each site accommodates members who can join or leave as necessary, with role-based permissions (e.g., read-only access to policies or full edit rights to project trackers).
- Files can also be shared outside the immediate group membership with non-members when needed.
- Long-Term Continuity: When you leave SUNY Geneseo, the files remain accessible to the other members of the department or team. Data belongs to the site, not the individual.

Syncing Files with the OneDrive App
If you prefer to work out of desktop software (like the native desktop versions of Word and Excel) instead of a web browser, you can utilize the OneDrive App. This background utility connects your physical computer to the Microsoft 365 cloud environment.
Technical Note: The OneDrive desktop app handles background synchronization for both your personal OneDrive files and your shared SharePoint site files.
SharePoint's "Add Shortcut to OneDrive" Feature
SharePoint features an "Add Shortcut to OneDrive" button on the web interface. This tool lets you access your SharePoint files quickly through your standard computer file explorer via the OneDrive App directory.
- Using this feature creates a folder inside your local OneDrive panel that seamlessly maps back to your group's live SharePoint repository.
- These shortcut folders will always be automatically named after the target SharePoint site and end with the text "- Documents".
- This setup saves you the trouble of opening a web browser to download/upload documents while maintaining live cloud saves.
