OneDrive Guide to Files and Folder Organization

Body

This guide helps SUNY Geneseo faculty, staff, and students organize files efficiently in Microsoft OneDrive.

A clear structure improves searchability, collaboration, and consistency across departments.

🧹 Before You Start

Before organizing your OneDrive:

  • Delete any files you no longer need (old drafts, duplicates, temporary items).

  • Review shared folders for outdated permissions (former staff, student workers, or external collaborators).

  • 💡 Tip: Set aside 5–10 minutes each week to review one folder and remove clutter.

📁 Organizing Files and Folders Efficiently

🏗️ Plan Your Folder Hierarchy

Design folders around your department or project workflow (for example, Courses → Spring 2025 → Syllabi).
Keep your structure shallow—no more than three or four levels deep.

Example:

CIT
├── Projects
│ ├── 2025
│ │ ├── OneDrive_Rollout
│ │ └── KnowledgeBase
└── Training_Materials

📝 Use Descriptive File Names

  • Use clear names such as CIT_Technical_Services_Report_Fall2025.docx.

  • Avoid generic names like “Document1” or “Final_v2”.

  • 💡 Tip: Keep file names under 50 characters so they display fully in OneDrive and Teams.

🔤 Establish a Consistent Naming Convention

Use a predictable pattern:
YYYYMMDD_Department_Project_Version
Example: 20251112_CIT_OneDriveGuide_v1.docx

Share your naming convention with your team to keep files consistent.

🔒 Implement Security Access Controls

  • Give each user access only to the folders they need.

  • Use Manage Access → People in SUNY Geneseo when sharing internally.

  • Set link expiration dates for external shares.

  • Prefer folder-level permissions unless a single file requires restriction.

  • Review shared links each semester to keep access current.

🏷️ Leverage Metadata and Tags

  • OneDrive has limited tagging; use SharePoint for complex metadata or advanced filtering.

  • In OneDrive, use search filters such as Activity, Modified by, and File type to locate files quickly.

🤝 Collaborating and Sharing on OneDrive

OneDrive allows real-time collaboration and version control.

Best Practices

  • Set “Can view” or “Can edit” permissions intentionally.

  • Always share via OneDrive links, not attachments.

  • Use Add shortcut to My files for shared folders instead of creating duplicates.

  • Review Version History before overwriting a file.

  • For group or departmental storage, use a SharePoint library or Teams channel instead of personal OneDrive.

🧭 Tips for Maintaining a Neat OneDrive Environment

  • Schedule a monthly review to archive or delete old folders (2+ years).

  • Check external sharing links for expiration.

  • Enable Files On-Demand to manage local disk space.

  • Move completed projects to an Archive folder.

  • Empty the Recycle Bin regularly.

🔗 Integrating OneDrive with Other Apps and Software

  • Use the OneDrive mobile app → Scan feature to capture documents directly into organized folders.

  • Integrate OneDrive with Outlook, Teams, and Microsoft Forms.

    • Example: use Attach from OneDrive in Outlook to share a live document that updates automatically.

🚀 Streamlining Your Digital Workspace

OneDrive acts as your personal and departmental hub within the Microsoft 365 environment.

Next Steps:

  1. Review your current folder structure.

  2. Rename your top five files using the new naming convention.

  3. Share your standards with your team.

  4. Schedule a recurring reminder to maintain organization.
